Wrong Leave in e-Service Book? Oct 2026 Fix Explained
If a leave entry in your Manav Sampada e-Service Book is wrong, you cannot edit it yourself. Apply to your Block Education Officer (BEO) with documents. The BEO checks them against the originals and forwards the case to the BSA, with a written report and recommendation, on the proforma the Director of Basic Education issued in October 2026. Cases sent without that report, or with a half-filled proforma, are now being sent back.
This matters more than it looks. Your e-Service Book (ई-सर्विस बुक / सेवा पुस्तिका) is the record your leave balance, leave encashment and pension are worked out from. A wrong Earned Leave debit or a missing Child Care Leave entry is easiest to fix while you are still in service and the papers are at hand.

What the October 2026 order says
The Director of Education (Basic), Uttar Pradesh, Lucknow, has written to every District Basic Education Officer (BSA) about leave corrections on the Manav Sampada portal. The prescribed format is dated 5 October 2026, and the letter was widely reported on 7 and 8 October.
The reason is practical. Districts had been sending letters asking for leave records to be changed, but many carried no clear report (आख्या) or recommendation (संस्तुति) from the office concerned, and the required format was not fully filled. The directorate could not act on them.
From now on, every leave-correction case must come with three things:
- The complete prescribed proforma for the employee.
- A clear report and recommendation from the office that verified it.
- Both a hard copy and a soft copy.
In short, a covering letter alone no longer moves a case.
A second, related proforma for correcting other service-book data was circulated on 15 October 2026. It was published as scanned pages, so check the exact fields against your BEO office’s copy before filling it.
What the leave-correction proforma asks for
The proforma identifies the employee, then pins down the exact entry that is wrong. Keep these details ready before you visit the BEO office:
| Field | Where to find it |
|---|---|
| Manav Sampada code (Employee ID) | Salary slip, appointment letter, or the portal’s Fact Sheet (P2) |
| Name of teacher or employee | Service record spelling, not the everyday spelling |
| Designation | Appointment or promotion order |
| School name and address | Your current posting |
| Leave type | The leave that was entered wrongly |
| Period of the leave application | From and to dates on your original application |
| Entry number and date in the e-Service Book | Your downloaded e-Service Book |
The format has separate columns for Earned Leave (EL), Casual Leave (CL), Medical Leave (ML), Child Care Leave (CCL), Maternity Leave, Paternity Leave and Extraordinary Leave (EOL). Fill only the leave type that needs correcting, and quote the entry exactly as it appears in your e-Service Book.
How to get a wrong leave entry corrected, step by step
The correction travels upward through four desks. Each one has to sign off before the next can act.
- Download and check your e-Service Book. Log in at ehrms.upsdc.gov.in, open your service records and compare every leave entry with your own copies. If you need help signing in, our Manav Sampada UP login and e-Service Book guide covers it.
- Write a short application. Name the wrong entry by its number and date, say what it should be, and attach self-attested copies of your evidence.
- Submit it at the BEO office. For Basic Education staff, this is the block office (खंड शिक्षा अधिकारी कार्यालय), routed through your head of institution where your district requires it.
- BEO verification. The BEO matches your papers with the original records, fills the proforma, and adds a report and recommendation.
- BSA forwarding. The BSA office sends the verified case to the directorate in hard and soft copy.
- Correction on the portal. Once approved, the entry is changed by the authority that holds edit rights. Download your e-Service Book again to confirm it.
Districts are setting their own internal deadlines. In Unnao, for example, BSA Shailesh Kumar Pandey’s order of 7 October 2026 asked BEOs to submit verified reports by 13 October 2026, as hard copy plus an MS-Excel file in Times New Roman. Ask your BEO office which date applies in your district.
Which documents to attach
The BEO will only recommend what the originals prove. Match your evidence to the error:
| Error in the e-Service Book | Evidence that supports it |
|---|---|
| Leave debited that you never took | Attendance record for those dates, plus any order showing you were on duty |
| Wrong leave type (e.g. EL shown instead of ML) | Copy of your original application and the sanction order |
| Wrong dates or number of days | Original application, sanction order and approved joining request |
| Medical, maternity or CCL entry missing | Sanction order, medical certificate and joining request |
| Wrong date of birth (yours or a family member’s) | High School marksheet and certificate |
Date-of-birth changes are checked against recognised educational records such as the High School marksheet and certificate. For leave, attested copies of every related record are required. Bring the originals with you so the BEO can verify them on the spot.
Why correction requests get sent back
These are the usual reasons a case comes back:
- No report or recommendation. This is the exact gap the directorate’s letter targets. A forwarding note without the BEO’s verified view is not enough.
- Proforma half-filled. A missing e-Service Book entry number or date means the directorate cannot find the record to change.
- Only one copy sent. The order asks for both hard and soft copy.
- The problem is not an error. Some entries look wrong but follow the rules. For example, if you never sent a joining request after Earned, Medical, Maternity or Child Care Leave, the portal holds you on that leave. Fix that first through your Reporting Officer.
Check one more thing before applying. Since 18 May 2026, the leave form asks whether a Sunday or public holiday falls between your leave days. Before that, intervening holidays were deducted from Casual Leave. The new rule does not say past deductions will be reversed, so ask your BEO before filing one as an error.
Frequently asked questions
Can I correct a leave entry myself on Manav Sampada?
No. Leave and service-book fields are locked for employees. Corrections go through the BEO and BSA, and are then made by the authority with edit rights.
Who verifies my leave correction request?
Your Block Education Officer checks your documents against the originals and adds a report and recommendation. The BSA office then forwards the case.
Does the October 2026 order apply outside Basic Education?
The Director’s letter went to BSAs, so it covers Basic Education teachers and staff. Employees of other departments should raise errors through their DDO or departmental nodal officer.
Is there a last date for leave correction?
The directorate’s letter, as reported, sets no statewide last date. Districts set their own internal dates for BEOs, such as 13 October 2026 in Unnao, so ask your block office.
How do I know the correction has been made?
Download your e-Service Book again and check the entry number you reported. Also check your leave balance, which should reflect the change.
